RICOH ADDRESS BOOK DECODER

How to export a Ricoh address book

October 13, 2026 · 5 min read

To decode an address book you first need the backup file off the device. On almost every Ricoh MFP this is done through Web Image Monitor, the device's built-in web interface. You need administrator access to the device.

Through Web Image Monitor

  1. Find the device's address. It is printed on the operation panel under the network settings, or shown on the configuration page. Put that IP address into a browser.
  2. Log in as an administrator. The default administrator login varies by fleet; on a managed device it will have been set by whoever configured it.
  3. Open address-book management. On newer IM and IM C devices this is under Device Management → Address Book. On older MP, MP C and Aficio devices it is Address Book Management.
  4. Back up all entries. Look for Maintenance, Back up all, or Back Up All Address Book Data. The device builds a UCS backup and offers it as a download — usually a .udf file.

With or without a password

Some firmware asks for a backup password when you export. If it does, whatever you type becomes the key to the file — note it down, because you will need it to decode. If no password is requested, the backup is still "encrypted", but with a fixed key, and this tool decodes it with the password field left blank.

From the operation panel

Many devices can also write a backup to a USB stick directly from the physical panel, under User Tools → Address Book Management → Back up. The resulting file is the same UCS format and decodes the same way.

Once you have the file, drop it into the decoder. If your model needs specific menu paths, find it on the supported models page for exact steps, and read how the encryption works if you want to understand what you are looking at.
